Uniform Terms and Conditions for the Hotel and Catering Industry

The Uniform Terms and Conditions for the Hotel and Catering Industry (UVH) are the terms under which hotel and catering businesses established in the Netherlands, such as hotels, restaurants, cafes, and related businesses, provide catering services and enter into catering agreements. Cancellation terms for room bookings (up to 120 people)

Room bookings for up to 120 people can be canceled free of charge up to 4 weeks before your event.

If the reservation is canceled after this time, the following rates will be charged:

  • 60% of the total reservation value if canceled within 4 weeks before the event date;

  • 85% of the total reservation value if canceled within 2 weeks before the event date;

  • 100% of the total reservation value if canceled within 1 week before the event date.

Up to 5 working days before, you can provide the final number of people. Up to 24 hours before your event, you can change up to a maximum of 5% of the above number.

If we do not receive any changes in numbers, at least the number of reserved people will be charged to you.

Cancellations and/or changes must be made in writing.

Cancellation terms for room bookings for groups (from 121 people)

Room bookings from 121 people can be canceled free of charge up to 3 months before your event.

If the reservation is canceled after this time, the following rates will be charged:

  • 15% of the total reservation value if canceled within 3 months before the event date;

  • 35% of the total reservation value if canceled within 2 months before the event date;

  • 60% of the total reservation value if canceled within 1 month before the event date;

  • 85% of the total reservation value if canceled within 2 weeks before the event date;

  • 100% of the total reservation value if canceled within 1 week before the event date.

Changes in numbers

For room bookings from 121 people, the following conditions apply with regard to changes in the number of participants:

  • Up to 4 weeks before the start, the number of participants can be reduced free of charge by a maximum of 20% of the originally reserved number of people;

  • Up to 2 weeks before the start, the number of participants can be reduced free of charge by a maximum of 10% of the last written confirmed number of people;

  • Up to 5 working days before the start, the number of participants can be reduced free of charge by a maximum of 5% of the last written confirmed number of people;

  • Within 5 working days before the start, reductions in the number of participants are no longer possible.

After each change, the last written confirmed number is considered the new basis for further changes.

Increases in the number of participants are only possible based on availability and after written confirmation by the hotel.

If no changes are communicated, at least the last written confirmed number of people will be charged to you.

Cancellations and/or changes must be made in writing.

 Additional provision

For events involving exclusive rental of one or more rooms, an exceptionally high reservation value, or specific tailor-made agreements, the hotel reserves the right to agree on different cancellation, amendment, and payment terms. These conditions are recorded in writing in the reservation confirmation.

Cancellation terms for group reservations (hotel rooms)

Group reservations can be canceled free of charge up to 3 months before the start of your reservation.

If the reservation is canceled or changed after this time, the following rates will be charged:

·       15% of the total reservation value if canceled within 3 months before the start date;

·       35% of the total reservation value if canceled within 2 months before the start date;

·       60% of the total reservation value if canceled within 1 month before the start date;

·       85% of the total reservation value if canceled within 2 weeks before the start date;

·       100% of the total reservation value if canceled within 1 week before the start date.

Up to 24 hours before arrival, you can cancel/change up to a maximum of 10% (with a max of 5 rooms) free of charge. Cancellations and/or changes must be made in writing.
